To represent the diversity of the CCSI stakeholders, from profit to non-for-profit organizations, EIT Culture & Creativity set up a two-strand governance under German law: A nonprofit association (EIT CCSI e.V.) and a Limited Company (EIT Culture & Creativity GmbH), both legally registered in Cologne. 

EIT Culture and Creativity GmbH (EIT CC) is funded in the first years by grants of the EIT, while the EIT CCSI e.V. receives membership fees from its partners to provide, under German law tax exempt, services for the CCSI ecosystem. EIT Culture & Creativity aims to become financially sustainable and independent from public grants or membership fees over the course of 15 years. Starting from 2025, EIT CC will execute an investment portfolio approach holding equity in the start-ups and scale-ups that join its various Business Creation and Innovation programmes. EXECUTIVE ASSISTANT 

1 FULL-TIME POSITION AT EIT CULTURE &CREATIVITY

ABOUT THE POSITION 

EIT Culture & Creativity is seeking a highly organised and proactive Executive Assistant (m/f/d) to support the CEO and Executive Leadership Team in managing their strategic and operational responsibilities. 

In this critical role, you will be an integral part of the Executive Office, ensuring the seamless communication and coordination necessary to support the Executive leadership team. 

Your efforts will be key in optimising daily operations and enabling the leadership to perform effectively in a dynamic, fast-paced environment.

The ideal candidate will possess exceptional attention to detail, superior interpersonal and communication skills, and the ability to manage sensitive information with discretion in a complex, multi-stakeholder setting.

ABOUT THE TASK & MISSION 

Your main responsibilities will include:

 

Executive and Administrative Support

  • Provide high-level administrative and organizational support to the CEO and Executive Leadership Team, including calendar management, travel coordination, correspondence, and meeting preparation.

  • Effectively manage daily priorities, monitor deadlines, and ensure the seamless flow of information both internally and externally.

  • Draft, proofread, and format executive correspondence, reports, and presentations in English (and desirably German), ensuring clarity and accuracy.

 

Governance and Board Management

  • Assist in the preparation, coordination, and documentation of meetings for the Supervisory Board (of our GmbH) and Executive Board (e.V.), ensuring compliance with governance protocols and legal requirements in close alignment with the Legal Department.

  • Coordinate and manage logistics for Board and Partner meetings, including scheduling, invitations, agenda preparation, and minute-taking.

  • Serve as a liaison with Board members, partner representatives, and legal advisors to ensure effective communication and timely documentation.

  • Maintain accurate and confidential records of governance-related documents and decision-making processes.

 

Stakeholder and Partner Coordination

  • Facilitate coordination between the CEO’s office and key stakeholders, including EIT, EU institutions, and the network of European partners.

  • Support communication with EIT Culture & Creativity’s pan-European ecosystem of universities, research organizations, creative businesses, and cultural institutions.

  • Contribute to the planning and execution of events, such as partner assemblies, stakeholder forums, and strategic workshops.

 

Office and Process Management

  • Collaborate with the Head of Office to drive continuous improvement in executive workflows, document management systems, and internal processes, enhancing overall efficiency.

  • Provide general administrative support to the central management team as needed.

THE REQUIREMENTS 

To be successful in your role, you must have

 

  • Experience: Several years of work experience in a similar role, preferably within an international or EU-funded organization.

  • Language Skills: Excellent command of English (C1 or higher) and preferably German.

  • Organizational Skills: Exceptional organizational and time management abilities, with a proactive, solution-oriented approach to tasks.

  • Board and Governance Expertise: Proven experience in preparing for and supporting board or governance meetings, including minute-taking and document coordination.

  • Confidentiality and Professionalism: Demonstrated ability to handle sensitive and confidential information with the highest level of discretion, professionalism, and attention to detail.

  • Digital Proficiency: Strong digital skills with confidence in using tools such as MS Office, Teams, SharePoint, and CRM or document management systems.

  • Interpersonal Skills: Excellent interpersonal skills, with the ability to collaborate effectively across diverse stakeholders, sectors, and countries.

  • Interest in European Ecosystems: A genuine interest in the European innovation, cultural, and creative ecosystems is an asset.

LOCATION 

This position is based in Germany, Cologne, with remote work flexibility.

Travel will be required when necessary but is not expected to be frequent.
